Who we are
Walmer Road Baptist church (referenced in this policy as "WRBC", "we", "us", and "our") is the owner and operator of this site. This Website Privacy Policy applies to the Walmer Road Baptist Church website (located at www.walmer.ca) and governs data collection and usage. By visiting any of the Walmer Road Baptist Church's websites, you are accepting the practices described in this Privacy Policy.
What personal data we collect and why we collect it
Comments
When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
Your form entries will be emailed directly to office@walmer.ca and only distributed to be able to provide the service you are requesting. The forms do not use cookies or store your form entries, as well as they do not collect IP Addresses or User Agents.
Cookies
If you leave a comment on our site, you may opt-in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

In accordance with applicable laws, Walmer Road Baptist Church (WRBC) home of the Walmer Centre, is committed to protecting the privacy of its members, adherents, donors, volunteers, staff, board, any applicable officers and any other persons about or from whom we collect personal information. WRBC embraces the principles Personal Information Protection and Electronic Documents Act (PIPEDA) to ensure that all personal information is properly collected, used only for the purposes for which it is collected and is disposed of in a safe and timely manner when no longer required.
- Accountability
WRBC is responsible for maintaining and protecting the personal information under its control. WRBC has appointed a Privacy Officer (Debie Mealey, director@walmer.ca) who is responsible to ensure that WRBC complies with its privacy obligations in accordance with applicable privacy laws.
- Identifying Purposes
WRBC collects and uses personal information for a variety of purposes including, but not limited to:

- providing services to individuals ministered to by WRBC;
- adherents and members who attend our services;
- establishing and maintaining members lists;
- managing payroll and benefits;
- employee performance evaluations; and
- establishing and maintaining lists of donors.

WRBC shall identify and explain the purposes for which it collects personal information to the person from whom the personal information is being collected, before or at the time the information is collected.
- Consent
Consent will be obtained from the person whose personal information is collected, used and disclosed, unless obtaining the consent would be inappropriate or not required by law. Sometimes the person’s consent may be implied by virtue of their membership in WRBC or because of the person’s conduct within WRBC. When it is appropriate, written consent will be obtained.
Written consents will be kept on file for as long as the information is reasonably necessary. A person may withdraw his or her consent at any time, subject to legal or contractual restrictions and reasonable notice. The person will be informed of reasonably foreseeable implications of the withdrawal.
- Limiting Collection
Information collected will be limited to that required for the purpose or purposes identified by WRBC. WRBC is committed to collecting personal information in a fair, open and lawful manner.
- Limiting Use, Disclosure, and Retention
Personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the person or as required by law. All collected personal information shall be destroyed, erased, or made anonymous as soon as the purpose for which it was collected is no longer relevant, or as permitted by the law. Nothing in this Privacy Policy prevents the Board, staff, and ministry lead’s from collecting, retaining and using information related to individuals ministered to by WRBC, since such information assists in providing quality services.
- Accuracy
Personal information shall be maintained in as accurate, complete and up-to-date a form as necessary in order to fulfill the purposes for which it was collected.
- Safeguards
Personal information will be protected by security safeguards that are appropriate to the sensitivity of the personal information. This safeguarding could include physical measures such as locked filing cabinets and premises security, and organizational measures such as restricted access to files with personal information or technological measures such as security software.
- Openness
Information regarding the privacy policy of WRBC, as well as the personal information management, shall be available as requested. The information will include:

- Name and address of the Privacy Officer,
- Means of gaining access to personal information held by WRBC, and
- Copy of any brochures or other information that explains WRBC’s policies, standards or codes.

- Access to Personal Information
Access to personal information will be granted, where WRBC is legally required to release the information and provided that the disclosure does not violate any applicable statutes or contracts, to the person to whom the information pertains where there is an appropriate written request. The existence, use and disclosure of the personal information will be granted within a reasonable period of time. Any inaccuracy or incompleteness of personal information will be amended as required.
- Challenging Compliance
Complaints or inquiries about the collection, use, disclosure, or retention of personal information and WRBC ’s compliance with these ten principles should be directed to the Privacy Officer, Debie Mealey, director@walmer.ca. The Privacy Officer will investigate complaints and ensure that appropriate measures are taken.
